Email us about your books Tell us your sales channels and rough monthly orders. We'll reply with a fixed monthly quote.
Example: how we record one marketplace payout

Shopify payout, 14 March  ·  $4,812.40 to bank

Gross sales$5,630.00
Shipping charged to customers$318.50
Sales tax collected$402.10
Refunds($620.00)
Shopify Payments fees($178.20)
Chargebacks and dispute fees($740.00)
Deposited to bank$4,812.40

Booking only the $4,812.40 deposit as "sales" understates revenue, hides fees and mixes in sales tax you owe. Each line above goes to its own account.

Who we work with

Two kinds of clients

Online sellers

Shopify, Amazon, eBay and WooCommerce stores, usually selling on more than one channel and taking payments through several apps. Sellers usually come to us when the books have fallen behind, or when their CPA has said the numbers don't add up.

If you're behind by a few months, we first bring the books up to date for a one-time fixed fee, then move to monthly.

CPA and accounting firms

We do the monthly bookkeeping for your clients under your firm's name, following your chart of accounts, workpapers and review process. Your firm stays the client's point of contact.

It lets your firm take on more clients without hiring, and keeps bookkeeping on schedule through busy season.

Every month

What we actually do for you

The same routine every month, so nothing is left for year end. You receive your reports by the 10th of the following month, or on a date agreed with you or your CPA.

  1. Pull in every accountBank and credit cards, plus each payment app you use: PayPal, Stripe, Shopify Payments, Amazon, eBay, Cash App, Zelle and others.
  2. Break down marketplace payoutsSales, shipping, sales tax, refunds, fees and reserves recorded separately, as in the example above.
  3. Categorise and reconcileEvery transaction coded and every account reconciled to its statement. Anything we can't identify goes on a short list for you, not into a suspense account.
  4. Bills and vendorsSupplier invoices, inventory purchases and recurring costs entered and matched to payments.
  5. Close the monthAccruals, prepaid expenses and clearing accounts checked, so each month shows its true profit.
  6. Send your reportsProfit & loss, balance sheet and a short note in plain English on what changed and what needs your attention.
More than bookkeeping

What clients ask us to look into

Monthly books are where we start. Once we know a business, owners bring us the bigger questions behind the numbers. Some real examples from our client work:

"What does each product really cost us?"

We matched supplier invoices to each product and built a simple cost sheet, so the owner could see true margin per item and which supplier was cheapest for the same stock.

"Are we paying our affiliates the right commission?"

We checked every commission against the orders behind it and found commissions credited to the wrong affiliates and paid on orders that should not have qualified, with a clear list for the client to correct.

"Why don't our discounts add up?"

Coupon and discount totals in the store didn't match the accounts. We traced where the figures were changing between the store and the accounting software and corrected the records.

"Money comes in from twelve different apps. Is it all there?"

Stripe, PayPal, Shopify, eBay, Cash App, Zelle and more, paying into three banks. We now tie every payout back to the sales behind it, every month.

"Our sales and stock never match."

We reconcile inventory purchases and stock movements to sales, so cost of goods sold is right and the profit figure can be trusted.

"We've hired our first employee. What now?"

We help you get payroll and sales tax set up with the right provider, then keep the books in line with them each month.

Client names are never shared. These checks can be added to your monthly plan or done as a one-off project.

Getting started

How we start working together

1. A short email or call

Tell us where you sell, roughly how many orders you have and what software you use. We sign an NDA before looking at anything.

2. A fixed monthly quote

We review your books and send a written monthly fee, plus a one-time catch-up fee if you're behind.

3. Access and first close

You add us as a user in QuickBooks or Xero. Your first month is half price, and your first reports arrive by the 10th.

Confidentiality & data security

Your financial data stays yours

Bookkeeping means seeing everything about a business. We treat that seriously, and we put it in writing before any work starts.

CPA firms using us for white-label work can share their own confidentiality and data-handling terms, and we sign those too.

  1. NDA signed before we startEvery client and partner firm gets a signed non-disclosure agreement covering your financials, customers, suppliers and pricing. It stays in force after the engagement ends.
  2. Your data stays in US-hosted systems you ownWe work inside your own QuickBooks Online or Xero company and your bank feeds. We don't copy your books onto our own servers or personal devices.
  3. Access you controlYou add us as a user with the permissions you choose, and can remove us in one click. We never ask for passwords, card numbers or bank logins by email.
  4. Two-factor sign-in on every accountAll our logins, including email, accounting software and shared drives, are protected with multi-factor authentication.
  5. Named people onlyOnly the accountants assigned to your books can see them. Access is reviewed regularly and removed the day an engagement ends.
  6. Documents handled with careAny receipts or statements you send are kept in a restricted company folder, used only for your bookkeeping, and returned or deleted when we stop working together.

Pricing

A flat monthly fee

$100 a month onwards
Your first month is half price

Your fee depends on how many transactions you have each month and how many bank accounts, cards and sales channels we look after. We confirm it in writing before we start, and it doesn't change unless your volume does.

Questions

Things people usually ask us

Will you sign an NDA?

Yes, always, before we see any of your data. We use our standard NDA, or we sign yours or your firm's if you prefer.

Where is my data kept?

In your own US-hosted accounting software (QuickBooks Online or Xero) and bank feeds. We work inside those systems rather than downloading your books, and documents you send are kept in a restricted company folder with two-factor sign-in.

Do you file tax returns?

No. We keep the books and prepare year-end schedules, and your CPA prepares and files your returns. If you don't have a CPA yet, we can introduce you to a US CPA we already work alongside.

Cash or accrual?

For most stores we recommend accrual, so that sales, marketplace fees and cost of goods sold land in the month they belong to. If you or your CPA prefer cash basis, we keep the books that way.

What if my books are months behind?

That's common. We quote a one-time fixed fee to bring everything up to date, then start the monthly routine. Catch-up work is usually done before the first monthly close.

How do you get access to my accounts?

You add us as a user in QuickBooks or Xero and give read-only access to bank feeds where needed. You can remove our access at any time. We never ask for passwords by email.

What do you need from me each month?

Usually very little: answers to a short list of transactions we couldn't identify, and any supplier invoices or receipts that aren't already in your system.

Can we start with just one month?

Yes. Your first month is half price, so you can see how we work and what our reports look like before committing further.

Get in touch

Write to us about your books

A short email is enough. It helps if you include:

  • Where you sell (Shopify, Amazon, eBay, your own site)
  • Roughly how many orders or transactions a month
  • The software you use now, if any
  • How far behind the books are

Every enquiry is read and answered by a qualified accountant, who will come back with any questions and a fixed monthly quote.
